What this policy covers

Fluency Calibration is a professional English calibration tool. This policy explains what data we collect, why, and how we handle it. No legalese — the facts.

What we collect

• Your email address (provided via OAuth or entered directly for magic-link sign-in), plus name and avatar from Google or GitHub if you use OAuth. We use this to create your account and send you emails.
• Professional context — the role, audience, and tone description you type during calibration. We use this to match phrases to your profile.
• Practice responses — what you write in the practice simulator. We use this to evaluate your response and track your progress.
• Analytics events — page views, button clicks, and feature usage. We use PostHog to understand how people use the product so we can improve it.

Third-party processors

Your data is processed by these services:

• Resend — transactional email delivery (daily phrase reminders, unsubscribe confirmations).
• PostHog — product analytics and session tracking.
• Sentry — error monitoring and crash reporting. Error reports may include your user ID and the action that triggered the error. No practice responses or profile text are sent to Sentry.
• Neon — PostgreSQL database hosting. All account data, profiles, phrase progress, and practice attempts are stored here.
• AI providers (Anthropic / OpenAI) — your professional context and practice responses are sent to generate calibration profiles and evaluate practice attempts. These providers don't use your data for training.
• Cloudflare Turnstile — invisible bot protection on the calibration form. No tracking cookies are set; only a one-time challenge token is verified.

Cookies

• Session cookie — essential. Auth.js sets this to keep you signed in. It expires when you sign out or after 30 days of inactivity.
• Analytics cookies — optional. PostHog sets these to identify returning visitors and track sessions. You can decline these via the consent banner.

How long we keep your data

• Account data — retained until you delete your account.
• Practice responses — retained for progress tracking. Deleted when you delete your account.
• Analytics data — retained for 12 months, then automatically purged.
• Error logs — retained for 30 days in Sentry, then automatically purged.

Your rights

You can:

• Access your data — your profile, progress, and practice history are visible in the app.
• Delete your data — delete your account from Settings. This permanently removes all your data from our database.
• Export your data — download it from Settings before you leave.
• Opt out of analytics — decline cookies via the consent banner, or contact us.

Children

Fluency Calibration isn't designed for anyone under 16. We don't knowingly collect data from children.
